3. Scope of Data Collection
We collect only the data necessary to provide high-standard cleaning and maintain safety:

Property Specifics: Access instructions, alarm codes, pet presence, and delicate surface instructions.

Legal Documentation: Signed Service Contracts, which are required before any work begins.

Financial Data (Invoicing): We collect your email address to issue manual invoices. These invoices contain our business bank details for you to make a manual transfer. We do not collect or store your bank account numbers, sort codes, or card details. We only see the payment confirmation (Name and Reference) as it appears on our bank statement.

Visual Data: "Before and After" photos for quality assurance. We do not use these for marketing without a separate, explicit release.
4. Digital Security & Cloud Environment
FreskaClean operates a 100% paperless, cloud-first environment. Your data is protected by multiple layers of security:

Google Workspace Encryption: All contracts and property notes are stored within a secure Google Workspace environment. This is protected by enterprise-grade encryption and mandatory Multi-Factor Authentication (MFA).

Just-In-Time Access: Sensitive access codes are only shared with authorized staff on the day of service and are accessed through our secure cloud portal.

No Local Device Storage: Staff are strictly prohibited from saving client codes or addresses to personal phone "Notes" or "Contacts."

Remote Security: We maintain "Remote Wipe" capabilities on devices used to access our cloud environment to ensure data remains private in the event of hardware loss.
5. Lawful Basis for Processing
We rely on the following legal grounds under the UK GDPR:

6. CCTV and Smart Doorbell Systems
We acknowledge that many clients utilize CCTV or video doorbells. FreskaClean staff may be recorded in the course of their duties. These systems are owned by the client. If footage is shared with us to resolve a dispute, it is treated as sensitive data, stored securely, and deleted once the matter is finalized.

Service Records: Retained for up to 6 years after your final service.

Home Access Codes: Purged from all digital systems immediately upon termination of service.

Welcome to FreskaClean. These Terms & Conditions (“Terms”) define the professional expectations and legal agreement between FreskaClean and our clients. By booking, signing a service contract, or using our services, you agree to these Terms in full.
1. About Us
FreskaClean provides professional domestic, commercial, and specialist cleaning services (including Airbnb, HMO, End-of-Tenancy, and After-Build cleans) serving Nottingham and surrounding areas.

2. Quotes, Bookings, and Service Contracts

Variable Pricing: All quotes are based on information provided by the client. We reserve the right to adjust the price if the property condition or workload differs significantly from the initial description or if specialist equipment is required.

Mandatory Contract: A signed service contract is required prior to the commencement of any recurring or one-off specialist service.

Right of Refusal: We reserve the right to decline any booking that we deem unsafe, unsuitable, or outside our scope of service.
3. Payments and Invoicing

Method: Payments must be made via Bank Transfer (BACS).

Standard Terms: Invoices are issued digitally and are due within 7 days of issue, unless otherwise specified in your Service Contract.

Late Payments: Payments not received by the due date may incur a £10 late fee for each week the balance remains outstanding.

Service Suspension: We reserve the right to suspend all scheduled services immediately if an invoice remains unpaid after one reminder.
4. Cancellations and Rescheduling

48-Hour Notice: We require at least 48 hours’ notice for any cancellation or rescheduling to allow us to manage staff rotas.

Late Cancellation Fee: Cancellations made with less than 24 hours’ notice will be charged at 50% of the booking cost.

Lock-Out Policy: If our team arrives and cannot gain access (e.g., incorrect digital code, missing key, or a locked gate), the full service fee (100%) will apply.

Management Discretion: The application of cancellation fees is at the sole discretion of the business owner. We reserve the right to waive fees in exceptional, documented emergencies on a case-by-case basis.
5. Property Access and Utilities

Digital Access: As a paperless business, all access codes and instructions must be provided digitally.

Utilities Requirement: The client must provide running water, electricity, and adequate lighting. If a service cannot be completed due to a lack of utilities, the full fee remains payable.

Specialist Prep: For End-of-Tenancy or After-Build cleans, the property must be vacant of people and pets during the service unless agreed otherwise.
6. Liability and Insurance
FreskaClean holds full Public Liability and Employer’s Liability Insurance.

Exclusions: We are not liable for pre-existing damage, wear and tear (e.g., old carpet stains), faulty fixtures (e.g., loose rails), or items of high sentimental value not declared in the Service Contract.

Reporting Window: Any claim for accidental damage must be reported in writing with photographic evidence within 24 hours of service completion. Claims made after this window will not be considered.

Resolution: Where a valid claim is accepted, FreskaClean reserves the right to repair or replace the item at our discretion.
7. Satisfaction Guarantee & "No Refund" Policy

The Re-Clean Rule: If you are not satisfied with the quality of work, you must notify us within 48 hours. We will arrange a re-clean of the specific area at no extra cost.

Finality: We do not offer cash refunds as a resolution. Our commitment is to correct the work to our professional standard.
8. Non-Solicitation of Staff

The Protection: Clients agree not to solicit, hire, or engage any FreskaClean staff member for private cleaning services outside of this agreement.

The Breach Fee: Any breach of this clause will result in a recruitment referral fee payable by the client to FreskaClean, equal to two months’ average service cost or £500 (whichever is greater).
9. Health, Safety, and Conduct

Zero Tolerance: We operate a zero-tolerance policy toward aggressive or disrespectful behavior. Our staff reserve the right to leave a property immediately if they feel unsafe.

Biohazards: Clients must disclose any infestations, mold, or hazardous waste prior to booking. We reserve the right to charge a "Specialist Handling Fee" or cancel the service if such hazards are found upon arrival.
10. Force Majeure
FreskaClean shall not be liable for any failure or delay in performance due to circumstances beyond our reasonable control, such as extreme weather, fuel shortages, or transport strikes. We will always communicate delays as early as possible.
